Office Manager – Drive Excellence in Integrated Behavioral Health Clinics!

Position Overview:
We are looking for a highly organized and dedicated Office Manager to join our team in supporting Behavioral Health Integrated Clinics across Guadalupe, Caldwell, and Gonzales County. This role is essential in ensuring efficient clinic operations while providing critical administrative and clinic support. The ideal candidate is detail-oriented, a strong leader, and passionate about enhancing behavioral health services.

Key Responsibilities:

  • Leadership & Team Management: Supervise and provide leadership to the Customer Service Representative (CSR) team, ensuring efficient front desk and clinic operations in line with BTCS standards.
  • Training & Onboarding: Lead the training and onboarding of new CSR staff across multiple locations, ensuring consistency in front desk operations.
  • Collaboration & Coordination: Work closely with Program Directors, Services Managers, and the Director of Business Operations to streamline workflows and operational tasks.
  • Clinic Operations Management: Oversee daily office functions, including data entry, document scanning, managing Electronic Health Records (EHR), financial assessments, insurance authorizations, and caseload assignments.
  • Schedule Management: Partner with CSR and Clinical teams to maintain and adjust clinic schedules to accommodate patient needs.
  • Process Improvement: Identify and implement operational enhancements in collaboration with clinic leadership, improving efficiency and overall service delivery.
  • Supply & Equipment Management: Maintain office supplies, oversee equipment upkeep, and ensure timely requisitions.
  • Transportation Coordination: Supervise Relief Pool Transporters and coordinate transportation needs across clinic locations.
  • Reporting & Compliance: Assist in generating and reviewing administrative reports to ensure accuracy and compliance with clinic standards.

Salary: $26.00 – $30.75/hr

*Range of salary subject to applicable differentials listed below*

Applicable Differentials:        

$2.00/hour – Up to 4 years previous community center experience in similar role

$1.00/hour – Tenure with BTCS

$1.00/hour – Career Ladder Specialty

.75/hour – Bilingual

CredentialsMinimum Qualifications: High School diploma or GED equivalency; knowledge of Excel and Word, record keeping, good organizational

Experience working with people with mental health diagnosis.
Strong computer and communication skills; Experience working in an electronic medical record system. Knowledge of Excel and Word, record keeping, good organizational skills.
Experience in a medical office setting.

Experience with Social Security Disability programs, Medicaid, and Medicare.

Preferred Qualifications: Some college (1-2 years) or Associates Degree.
2 years previous office management experience.
Experience having financial discussions with clients regarding treatment costs.
Bilingual.
